Collect and Manage Vehicle Access Pass Requests Using a Truck Stop Form

The Truck Stop form allows advance contacts to submit delivery information and request vehicle access passes through their Group Portal. Use this form to collect delivery dates, estimated arrival times, vehicle information, and any additional details your organization requires.

Set Up a Truck Stop Form

1. Create a New Truck Stop Form

Navigate to Forms and create a new form using the Truck Stop form type.



2. Add the Delivery Days System Field

Include the Delivery Days system field in your form. This field corresponds to the delivery dates configured on your event's Event Details page, allowing submitters to select from the available delivery days. If utilizing QR codes for Vehicle Access Passes, the QR codes will only scan for the Date submitted in this field.



3. Add a Dropdown Time Group Field

Create a custom Dropdown Time group field type.

The available timeframes are fully customizable and will be displayed on the Truck Stop Schedule based on the timeframe selected by the submitter.


4. Add Additional Custom Group Fields

Create any custom group fields needed to collect additional delivery information, such as:

  • Vehicle information

  • Carrier company

  • Delivery description


5. Add a Vehicle Access Pass Item Block

Include an Item Block containing the Vehicle Access Pass item(s) that submitters will request as part of their delivery submission.

6. Enable Schedule Creation

Open the form's Settings and enable Create and Populate Schedule for this Form.

When enabled, submissions will automatically populate the Truck Stop Schedule, making it easier to manage and coordinate deliveries.


7. Assign the Form to Group Portals

To make the form available to advance contacts, assign it to the appropriate Group Portals.

Navigate to:

Form → Share → Assign

and select the Group Portal(s) that should have access to the form.

Additional Option: Import Existing Delivery Data

If delivery information has already been collected outside the platform, an administrator can import delivery records directly into the form's Results page.

This allows you to take advantage of the Truck Stop Schedule view without requiring contacts to submit the information through the form.

Managing Vehicle Access Passes

Truck Stop forms have a one-step approval process. Approving a form submission within the Schedules module will also approve any Vehicle Access Passes requested within the form.

Similarly, approving a Vehicle Access Pass in the Credentials module will also approve the associated Truck Stop form submission.
